CSD User Attitude Surveys Autumn 2003

1^st Year Undergraduate Survey

All 1^st year undergraduate students were emailed on Thursday 27^th November and asked to complete an online web-based survey on CSD services by Friday 12^th December. Those who submitted their responses by Thursday 4^th December were entered into a prize draw and from these 3 winners have been randomly selected, who will each receive a cheque for £25. In total, 720 responses have been received, which is well over the 10% target level of the total of first year undergraduates emailed.

The survey questions focused on the CSD Essentials: An Introductory Guide for Students booklet, the CSD talk at the Fresher Week Core Events days, Helpdesk services, University email facilities, student computer ownership, the new wireless service (Roamnet) plus other modes of Internet access and the Virtual Learning Environment (VITAL) service. The full set of questions is included in Appendix A of this document.

Overall, the student responses are very positive about CSD services. Key findings include:

• Asked for their overall impression, 94.7% were satisfied with the computing and information technology services provided by CSD.
• 84.6% were satisfied with the CSD Helpdesk services, though only 38% had required Helpdesk services.
• 96.3% are regularly using their University email account.
  Reasons for the relatively few who are forwarding their University email to their ISP accounts included:
• Because friends and family already know their ISP email address.
• To be able to download their email for reading off line.
• To help prevent their University address being spammed.
• Already used to other email clients, which they want to continue to use.
• So that they can access their email when they are away from the University. The fact that the University webmail service can be used anywhere in the World, as long as the computer has a web browser and is connected to the Internet, needs to be emphasised.

• 85.1% rated the Essentials booklet as useful.
  Comments on the most useful aspects of the booklet included:
• The booklet was a useful reference guide.
• The following information was found to be of particular use to new students: location of Teaching Centres, how to register, how to logon, who to contact if need help or advice, email services, how to connect own PCs to network in Halls, Roamnet, printing.

When asked if there was information missing from the booklet, which would have been useful to have included, the general consensus was that most of the key information was provided but some of the suggestions included:

• Include a map showing Teaching Centres, in addition to the list already included in the booklet.
• How to store large files on CD.
• More advice on printing and the quota system.
• To include information on connecting own PCs to Halls network in the Essentials booklet, rather than provided as a separate pack.
• More on availability of learning resources, e.g. how to use Excel.
• How to access M: drive off campus and how to use VPN.
• More advice on viruses and what happens if your PC is infected.
• More information on SPIDER.
• Clarification on the different passwords for the different services.
• Rules and regulations regarding Internet use.

• Only 44.6% responded they had attended the CSD talk at the Core Events days. This number seems low based on the numbers who actually attended the talks. It would seem that the students didn’t realise the talk was given by CSD. Fresher Week events are being reviewed during the next months, with the possibility of a new format for September 2004 – the data collected by this survey will be useful for the review.
  There was not much feedback about what was found to be most useful about the CSD talk; the main points were that the talk was useful in reiterating the material in the booklet and for giving information on where to obtain the Essentials booklet if a copy had not already been sent to the new student in their welcome pack.
  Again there was not much feedback about what would have been useful to have been included in the talk. The main points were that a clearer definition of the different services, e.g. VITAL, SPIDER, Athens etc, would have helped, to explain what software could be obtained from the Helpdesk to avoid wasting money buying it elsewhere at higher prices, more on Halls internet facilities and the suggestion of running a follow up talk later in the term when the new students had settled in.
• 83.7% reported they were already using the new VITAL service. 92.9% reported it was easy to use and 90.5% were satisfied with the service.
• 47.5% of respondents were in Halls of Residence accommodation, with a network connection.
• 80.3% have access to a computer at their home or hall of residence and 87.1% of these own the computer. 53.2% are desktop and 46.8% laptop computers.
• 76.5% have Internet connectivity.
  When undergraduates were asked the same questions early in 2003, as part of a survey to assess interest in a laptop rental scheme, 76.3% had access to a computer at their home or hall of residence and 76% of these owned the computer. 69.4% were desktops and 30.6% laptop computers.

Staff Survey

All staff were emailed on Thursday 3^rd December and asked to complete an online web-based survey on CSD services by Friday 19^th December. Those who submitted their responses by Thursday 11^th December were entered into a prize draw and from these 3 winners have been randomly selected, who will each receive a cheque for £25. In total, 815 responses have been received, which is well over the 10% target level of the total of staff emailed.

The survey questions focused on the CSD Fundamentals: An Introductory Guide for Staff

booklet, Helpdesk services, University email facilities, staff computer and Personal Digital Assistant (PDA) ownership, Roamnet and CSD training courses. The full set of questions is included in Appendix C of this document.

Overall, the staff responses are very positive about CSD services. Key findings include:

• Asked for their overall impression, 92.9% were satisfied with the computing and information technology services provided by CSD.
• 89.1% were satisfied with the CSD Helpdesk services. Only 36.4% had been already aware that the Helpdesk had extended its opening hours.
• Only 14.9% use non CSD supported email clients.
  Reasons for using non CSD supported email clients included:
• MAC or Linux users.
• Already familiar and happy with other email clients.
• Other email client already preinstalled on computer.
• Other email clients perceived as having better functionality for address book management, integrating with PDAs and calendaring systems, downloading messages onto own disk storage, etc.
• Only 38.7% said they had received the Fundamentals booklet, but of those who received a copy 71% thought it was useful and 67.1% thought it should be re-released annually. We are investigating what went wrong with the distribution of the booklet.
  Comments on the most useful aspects of the booklet included:
• The booklet was particularly useful to new staff, providing general information on CSD services, which every member of staff needs.
• The booklet was also useful to staff already in post, acting as a reference guide and to learn of services they were not previously aware of, e.g. how to recover files, access services remotely, obtain extra filestore, change passwords etc.
• It was felt to be useful to have a booklet to have to hand, rather than the document being online.
• The web links to further information, provided at relevant points throughout the booklet and assembled as a list on the back page, were felt to be very useful.
• The course leaflet was also thought to be useful, raising staff awareness of the training on offer by CSD.

When asked if there was information missing from the booklet, which would have been useful to have included, there was in fact very little feedback. Some of the suggestions included:

• A list of software available on the W2KS and its functionality.
• How to cut CDs and used scanners.
• More details on Sophos, virus handling, patches and security in general.
• How to change IP address when a computer is moved.
• How to install one’s own applications in the W2KS environment.
• How to integrate PDAs with W2KS applications.
• More information on core services, e.g. Webmail, Mulberry, VITAL, SPIDER, electronic online resources.
• 85.5% have access to a computer at their home. 55.1% have desktop, 16.2 have laptop computers and 28.7% have both. Only 4.9% have no Internet connectivity and 68.2% access University services remotely from home.
  When asked which University services were unable to be accessed satisfactorily from home, the main ones were:
• Mulberry and other IMAP clients.
• Restricted web pages without needing to use VPN.
• W2KS M: drive filestore other than via FTP.
• W2KS applications, such as CIS applications, online ECDL training material and CorporateTime client.
• Access to M: drive and University email addresses – both of which, in fact, are already available. It is clear that more advertising of remote services availability would be of benefit to many staff users.
• 12.4% own PDAs.
• 46.5% had attended CSD short courses and 88.9% found them useful.
  A number of suggestions were made for additional training courses to be run by CSD, but very few votes for each; e.g. Reference Manager/Endnote, FrontPage, GIS, Photoshop, Linux, collaborative working with large documents, integrating PDAs with W2KS. More advanced training courses on key applications, such as Excel, Dreamweaver, SPSS, Handling Images and Access, on which introductory training is already provided, was requested by a number of staff.
